Using Kyn

How do I add a new team member?

Log in to your Kyn dashboard, go to Profiles and select Add Profile. Fill in their name, role, location, photo and any other fields you've enabled. When you save, the profile is created in your account. It won't appear publicly on your website until your subscription is active and the embed code is on your site.

How does staff self-onboarding work?

Every Kyn account has a unique onboarding link. Share this with a new team member and they can fill in their own profile: name, role, location, photo, bio and any other fields you've enabled. Their submission arrives in your dashboard as a draft for you to review and approve before it goes live or you can edit your settings so that all self-submitted profiles go live without review. You control what appears publicly.

Can I control which fields appear on each profile?

Yes. From your account settings you can choose which fields are visible across all profiles, including name, role, location, photo, bio, pronouns, LinkedIn and the contact button. Turning a field off hides it from the public directory but doesn't delete the data. You can turn it back on at any time.

What happens when a team member leaves?

Go to their profile in your dashboard and either unpublish it (a simple toggle that removes it from your website but keeps the record) or delete it entirely. The change takes effect in your

embedded directory straight away.

Can I show only team members from a specific location?

Yes. When you generate your embed code, you can apply a state filter so the widget only shows team members based in a particular state. This is useful if you have dedicated location pages on your website and want each one to display local staff only. State filtering is available on Pro plans.

Does Kyn work with all website platforms?

Kyn uses an iframe embed, which is compatible with virtually every website platform: WordPress, Squarespace, Wix, Webflow, Duda, Shopify and custom HTML sites. You paste the embed code once and your directory appears. No plugins or extensions required.

Will my team profiles help with search visibility?

Yes, this is a built-in Kyn feature. When a visitor loads a page with your directory, the widget automatically generates structured data (JSON-LD Person schema) for each profile and injects it into the page. This gives Google detailed information about each team member: their name, role, location and employer. This can help individual staff members appear in relevant search results. Nothing needs to be configured — it happens automatically every time the page loads.

Subscriptions & Billing

Can I change plans later?

Yes. You can upgrade or downgrade at any time from the Billing section of your dashboard. Upgrades take effect immediately. If you downgrade, your current plan continues until the end of your billing period.

Is there a free trial?

You can create an account and manage as many profiles as you like for free. A subscription is only required when you're ready to generate the embed code and display your directory on your website.

How does annual billing work?

Annual plans are billed as a single upfront payment for the full year. You get the same features as the monthly plan at a lower overall cost (equal to two months free). Current pricing is listed on our home page.

What happens if a payment fails?

You'll receive an email notification. Your account enters a short grace period during which your embedded directory continues to work normally. If the payment isn't updated within three days, the widget will stop displaying on your website until billing is resolved. But your data is safe - nothing gets deleted.

Can I cancel anytime?

Yes. Cancel from the Billing section of your dashboard at any time. Your plan runs through to the end of the current billing period, after which the widget stops displaying. Your profiles and account data are kept, so you can still login to your account and reactivate whenever you're ready.

Troubleshooting

My directory isn't showing on my website - what should I check?

First, confirm you have an active subscription: the free account does not display a live widget. Second, make sure the embed code is placed inside a code block or HTML block, not a text block. If you're still seeing a blank space, email support@teamkyn.com with a link to the page and we'll take a look.

I updated a profile but the change isn't showing - what's happening?

Updates take effect in real time, but your browser may be showing a cached version of the page. Try a hard refresh (Ctrl+Shift+R on Windows or Cmd+Shift+R on Mac), or open the page in a private browsing window. If the change still isn't visible, contact support@teamkyn.com.

The directory looks different on my site than in preview - is something wrong?

The widget inherits some styling from your website's theme by design, so minor differences in font or spacing are expected. If the layout looks broken or significantly misaligned, send a screenshot to support@teamkyn.com and we'll help diagnose it.

General

Is Kyn available to businesses outside Australia?

Yes. While Kyn is built and supported in Australia and priced in Australian dollars, the platform itself has no geographic restrictions. It works for any business with a team and a website, anywhere in the world.
